Peace of Mind Talking Therapy

Privacy notice

Your privacy matters, especially in therapy. This explains, in plain English, what I collect, why, and your rights.

Who I am

Peace of Mind Talking Therapy is the data controller for the information you share with me. You can contact me about anything on this page at hello@vertex-studio.co.uk or on 07914 116912.

What I collect

When you book or get in touch: your name, email address, phone number, how you’d like to be contacted, and anything you choose to tell me in a message or booking note.

If we work together: brief session notes, kept to the minimum needed to provide safe, effective therapy.

This website uses only the cookies it needs to work, such as keeping the booking form secure. There are no advertising or tracking cookies, so you won’t see a cookie banner.

Why I use it, and the legal basis

To arrange and provide therapy, send confirmations and reminders, and keep you safe. The legal basis is to take steps at your request before entering into, and then to perform, our agreement (UK GDPR Article 6(1)(b)).

Information about your health is special category data. I process it to provide health and social care, under the professional duty of confidentiality (UK GDPR Article 9(2)(h)).

How I keep it safe

Anything you write in a booking note or contact form is encrypted when it’s stored. The booking system is hosted in the UK, protected by HTTPS, and only I can access it.

I never sell your information or use it for marketing.

Confidentiality and its limits

What you tell me stays between us. The rare exceptions, which I would always try to discuss with you first, are if I believe you or someone else is at serious risk of harm, or if I am required to share information by law or a court.

I discuss my work in clinical supervision, as all BACP members must, without sharing anything that could identify you.

How long I keep it

Booking enquiries that don’t lead to therapy are deleted within 12 months. Records from our work together are kept securely for 7 years after therapy ends, in line with professional guidance, then securely deleted.

Your rights

You can ask to see the information I hold about you, to correct it, or to have it deleted where I’m not required to keep it. You can also object to how it’s used. Just email me and I’ll respond within one month.

If you’re unhappy with how I’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

If you have a concern about my practice

Please talk to me first if you can. If that doesn’t resolve things, or you’d rather not, you can raise a concern with the British Association for Counselling and Psychotherapy through its Professional Conduct Procedure at bacp.co.uk.
